Translations of medical records for foreigners

  • 3.3.2023

There are millions of foreigners visiting the Czech Republic, either as a part of a larger tour through Europe, or just simply here for the kicks and the cheap beer. And let us set aside the sight-seeing for a moment, let’s suppose, that people go to our country for business reasons. And so they go to an office of a potential company that they could do some trading with and let’s say that an accident happens and they sustain a paper-cut. An ambulance is called over and off to the hospital.

Insurance companies and their reports in Czech

So they rush the gentleman to an operating room and the paper cut gets treated by several stitches. Life is saved and now comes the paperwork, which is going to be from start to finish in Czech language and so if the gentleman is, for instance, from Australia, then the medical records will be of not much use to him, if he wants to receive full honours for the injury he sustained in the line of his duty. Somebody will have to come in and translate those medical documents to English, before the Australian insurance company and the Queen of England can both bestow financial and honorary awards upon the visitor to our country.

Through a court appointed translator for officially recognized paperwork

The lab reports and examination protocols from one of our hospitals, as the foreign insurance company requests them, need to be first scanned, that is a point number one. Then it’s off to Google to search for somebody that has the necessary expertise to translate medical reports. That requires not only a perfect knowledge of anatomy and the medical dictionaries, but also a court appointed interpreter, who can actually read the notes. Medical reports are often written by hand. And so, to avoid the situation, where entire pages would be translated as „Illegible hand-written notes“, some precautions should be taken.

Selecting an interpreter

The first step to assuring a well done job on one’s medical records, is actually making sure, that the scans of the paperwork in question, are in good quality. We would suggest scanning in resolution of 600dpi or higher. That way, all the hand-written text should be decently legible to the translator. Selecting the translation agency is the next step right after this. For instance, in our team, we contract doctors, nurses and other medical specialists with extensive knowledge in various languages, as well as their respective medical field. This is what I would suggest to people. Go after those translation providers, where they have verifiable medical staff at their disposal. Once you find somebody who sounds decent, comes the negotiation.

Pricing. How much can one expect to pay for a translation

Court appointed translators and interpreters measure the volume of the text not by the number of sheets of paper, like some professions do, but by the actual keystrokes. The so-called Standard Page equals to 1800 strokes, including spaces and punctuation.
